How does Sophie know my office hours? +
Sophie is trained with your specific office hours. If they change, contact us and we'll update her within 24 hours. Patients asking about Sunday hours will be told you're closed and offered to book for another day.
What happens if a patient has an emergency? +
Sophie identifies emergencies immediately, expresses urgency, collects the patient's name and callback number, and tells them your team will call back within 15 minutes. She can also transfer directly to your front desk if someone is available.
How do I set up call forwarding? +
We handle the setup for you. Just let us know your phone provider (e.g., AT&T, Comcast, RingCentral) and we'll configure the forwarding. Most setups take under 10 minutes. You can forward all calls, after-hours only, or overflow calls.
Is Sophie HIPAA compliant? +
Yes. All call data is encrypted in transit and at rest. We sign a Business Associate Agreement (BAA) with all Pro and DSO clients. Patient information collected during calls is stored securely and never used for any other purpose.
Can I cancel my subscription? +
Yes β no long-term contracts. Cancel anytime with 30 days notice by emailing hello@sophie-ai.com. We'll disable the call forwarding and your practice returns to normal phone operation.
